Feature Description:
Driver Billing
The Collectionizer will bill and rebill your drivers
according their individual contracts. Define all your
driver shifts, and set up default billing definition
for Driver Owners, and/or Lease Operators. Up to 7 line
items may be applied to an automated billing schedule,
posted daily, weekly, biweekly, twice/mo, monthly, yearly,
or one time. Billing parameters are flexible: offering
fixed, percentage, or variable rates which may be calculated
according to live dispatch/garage data or manually entered
data via the cashier. Optionally, lease income can be
classified in QuickBooks according to vehicle assigned.
Interest on overdue driver accounts,
and car loans are automatically applied by the system.
Advanced features like Special Events, and new driver
shift schedules can be preprogrammed.
Driver Cashiering
The central hub of the Collectionizer is the driver
cashiering module. It is a streamlined, user friendly
interface which allows all aspects of the cashiering
transaction to be handled on one screen.
Minimum car loan, security deposit,
and account payments are prompted as required per driver.
Quickly
collect company charges (travel vouchers, hotel accounts,
Medicare, ...), credit card/interac charges, cash, and
cheques from drivers, applying these against the driver's
bill. Trip data may be provided via live data feed from
dispatch software, entered manually as bulk totals,
or individually entered per job for customer billing.
Optionally, surcharges are calculated according to these
payment methods. Extra money can be applied toward his
car loan (driver owners only), account, or given as
a rebate (either cash or a rebate check is automatically
printed). A collection receipt or lease ticket is automatically
printed with a legal agreement optionally available
for the driver to sign. If the envelope method is used
then the user can automatically pay the invoice from
or give credit to the driver account as opposed to a
rebate check.
For company driver collection, the driver
manifest/trip sheet is processed in a streamlined fashion.
Process their revenue, track expenses, calculate and
submit payroll information by base, commission, tip
and/or hourly rate all on one screen.
Customer Invoicing
If live data flows from dispatch they pile up in the
pending invoices table for review. Otherwise the customer
account manager may use the Collectionizer rapid entry
invoicing screens to enter Company Charges (travel vouchers)
into customer account. The user can modify, hold, charge
back or write off entries at this checkpoint. Once happy
with the list of charges the user can invoice the accounts
receivable one customer at a time, or all at once.
Customer Statements
and Detailed Billing
Periodically the customer account manager needs to send
out the statements. The Collectionizer "Customer
Statement Utility" offers a systematic way of handling
groups of customers together. The statements may be
very basic, or may be configured to detail many different
data fields as required. Customized Crystal Reports
may also be produced if required.
Receive Customer
Payment
Use the Collectionizer's streamlined "Receive Payment
Screen" to apply customer payments to outstanding
statements and optionally prepare for the bank deposit,
or if you allow your employees to access QuickBooks,
they may use its Receive Customer Payments feature to
micro manage the payment.
Reports
Generate Due Driver, Driver Lease Report, Driver Charges
History, and Customer Charge Reports on demand. Additional
Crystal Reports may be programmed as per your requirements
for a nominal fee.
Security
Choose between a 1-PC station or multiple PC's networked
together. Connect multiple office locations via secure
VPN tunnel.
Various password protected levels of data and administrative
access protect your accounting books as well as limit
employee capabilities. QuickBooks is only required to
be installed on one back office computer.
Simultaneous backups of the Collectionizer
database and the QuickBooks Company file are automatically
stored. |
