Cashier Lease Operators, Driver Owners (Association Drivers), and Company Drivers in real time at your cashiering booth, or process your driver submitted envelopes as you have the time.

When it is time for Customer Billing, use the Invoice Wizard to condense and create QuickBooks invoices for all cleared Account and Voucher trips; or use the "Enter Customer Charges" screen to review and process one customer at a time. Use the Customer Statement Utility to manage groups of customer statements in bulk.

Dispatch Interface Module
The Collectionizer has been successfully integrated with the Mobile Knowledge eXpert Dispatch System, providing seamless, comprehensive, real-time data exchange between these two critical elements of your back-office infrastructure. This optional module allows job details and cost information to be reused for cashiering drivers, customer account billing, and merchant account reconciliation & accounting.

Don't use Mobile Knowledge XDS? Don't worry this module is customizable for other dispatch systems.

Garage Interface Module
The Collectionizer has been successfully integrated with Truck Tracker™ fleet management software providing seamless, real-time data flow for cashiering, accounting, and statistical use. This optional module allows for automation of driver billing according to assigned shift, vehicle and other parameters like mileage and downtime.

Don't use Truck Tracker™? Don't worry this module is customizable for other garage management systems.

Payment Systems Reconciliation Module
This optional module works with the dispatch interface module above to screen the batch of "swiped" transactions against jobs cleared at the cashiering booth. Run this feature prior to transmitting the batch for Merchant account processing.

This module has successfully been integrated with ICVerify® Payments Systems, and can be customized for other payment software.

 

 

Detailed Feature Description:

Driver Billing
The Collectionizer will bill and rebill your drivers according their individual contracts. Define all your driver shifts, and set up default billing definition for Driver Owners, and/or Lease Operators. Up to 7 line items may be applied to an automated billing schedule, posted daily, weekly, biweekly, twice/mo, monthly, yearly, or one time. Billing parameters are flexible: offering fixed, percentage, or variable rates which may be calculated according to live dispatch/garage data or manually entered data via the cashier. Optionally, lease income can be classified in QuickBooks according to vehicle assigned.

Interest on overdue driver accounts, and car loans are automatically applied by the system. Advanced features like Special Events, and new driver shift schedules can be preprogrammed.

Driver Cashiering
The central hub of the Collectionizer is the driver cashiering module. It is a streamlined, user friendly interface which allows all aspects of the cashiering transaction to be handled on one screen.

Minimum car loan, security deposit, and account payments are prompted as required per driver.

Quickly collect company charges (travel vouchers, hotel accounts, Medicare, ...), credit card/interac charges, cash, and cheques from drivers, applying these against the driver's bill. Trip data may be provided via live data feed from dispatch software, entered manually as bulk totals, or individually entered per job for customer billing. Optionally, surcharges are calculated according to these payment methods. Extra money can be applied toward his car loan (driver owners only), account, or given as a rebate (either cash or a rebate check is automatically printed). A collection receipt or lease ticket is automatically printed with a legal agreement optionally available for the driver to sign. If the envelope method is used then the user can automatically pay the invoice from or give credit to the driver account as opposed to a rebate check.

For company driver collection, the driver manifest/trip sheet is processed in a streamlined fashion. Process their revenue, track expenses, calculate and submit payroll information by base, commission, tip and/or hourly rate all on one screen.

Customer Invoicing
If live data flows from dispatch they pile up in the pending invoices table for review. Otherwise the customer account manager may use the Collectionizer rapid entry invoicing screens to enter Company Charges (travel vouchers) into customer account. The user can modify, hold, charge back or write off entries at this checkpoint. Once happy with the list of charges the user can invoice the accounts receivable one customer at a time, or all at once.

Customer Statements and Detailed Billing
Periodically the customer account manager needs to send out the statements. The Collectionizer "Customer Statement Utility" offers a systematic way of handling groups of customers together. The statements may be very basic, or may be configured to detail many different data fields as required. Customized Crystal Reports may also be produced if required.

Receive Customer Payment
Use the Collectionizer's streamlined "Receive Payment Screen" to apply customer payments to outstanding statements and optionally prepare for the bank deposit, or if you allow your employees to access QuickBooks, they may use its Receive Customer Payments feature to micro manage the payment.

Reports
Generate Due Driver, Driver Lease Report, Driver Charges History, and Customer Charge Reports on demand. Additional Crystal Reports may be programmed as per your requirements for a nominal fee.

Security
Choose between a 1-PC station or multiple PC's networked together. Connect multiple office locations via secure VPN tunnel.

Various password protected levels of data and administrative access protect your accounting books as well as limit employee capabilities. QuickBooks is only required to be installed on one back office computer.

Simultaneous backups of the Collectionizer database and the QuickBooks Company file are automatically stored.

Software installation and initial configuration support is provided free of charge. Technical Support is available for post purchase issues for all customers whose Tech Support and Maintenance Plan is paid up to date.

Tech Support and Maintenance Plan Pricing:
This bundled support plan is $500 + 25% of total Collectionizer System Cost, charged annually in advance. The Tech Support and Maintenance Plan includes access to Peak Performance Software Corp Technical Support, and access to periodic updates which keep your system up to date. These updates may include new or enhanced common features and/or reports; however Peak Performance Software Corp reserves the right to decide whether newly developed software modules are included or not on an individual module basis.

Frequently Asked Questions:

Q: Does it provide a quick method to invoice our customers for the driver submitted charges? We process an unsorted box of charges.
A:
Yes, the Collection provides a keystroke optimized entry screen to process your pile of unsorted charges. Visit our web site for a screen shot of the "Mass Input Charges" screen. The user enters the amount (negative generates a Credit Memo) and any charge details required for the auto-generated customer statement detailed charges report. If changed, the customer is selected and date picked. The invoice list can be reviewed then 100's of invoices are created at once with the "Add Charges" button!

Q: I charge my drivers a surcharge for credit card services and company charges. Is this accounted for in the billing?
A:
Yes it is automatically charged and submitted to the QuickBooks income account specified in the User Preferences screen.

Q: I retain a security deposit in my drivers name for paying collision deductibles, tickets, and so on. How is this handled in the Collectionizer?
A:
The user programs up to 10 trust account collections including a title, bank account, required balance and default payment per collection. Owner and Lease Operators can be charged up to 3 trust collection methods whenever they cash out. When the bank account balance is below the required amount the specified payment is collected from the driver until his bank account has been "topped up".

Q: Some customers require a detailed report for each invoice and some just require a statement telling them how much they owe on their account? Can this be automated?
A:
Yes! The detailed charge report is customized per customer. On customer statement day the statements can be automatically printed out with their accompanying detailed charge report. The user specifies the type of report: None, User List, All Charges with memo... The report can be subtotaled by date and can span several users/sub-accounts with details and a grand total at the bottom! Custom Crystal Reports can also be designed specifically for the user!
